Common questions event planners ask before booking production, LED, photo booths, and printing.
What are the booking and cancellation terms?
A 30% non-refundable retainer and signed Master Agreement reserve your date. The remaining 70% balance is due 14 days prior to the event. Rescheduling is permitted up to 30 days prior, subject to calendar availability.
How much time do you need for setup and teardown?
Full-production packages (LED walls, multi-camera, audio) require 3–4 hours of uninterrupted load-in before doors, and 2 hours for teardown. Photo-booth-only setups require 60–90 minutes.
Do you carry event insurance and provide COIs?
Yes. We carry a comprehensive $2,000,000 Commercial General Liability Policy. We issue formal Certificates of Insurance (COI) naming the client, venue, and property management as Additional Insured at no extra charge.
What is your policy on severe weather for outdoor setups?
To protect human life and delicate electronics, Nexus Live Media reserves the right to suspend operations, cover, or strike electrical gear (LED walls, audio, cameras) if rain, lightning, or winds exceeding 20 mph occur. Weather suspensions are non-refundable.
Do you need our venue's Wi-Fi to live stream?
No. We deploy bonded multi-carrier gateways (AT&T/Verizon/T-Mobile) so we never depend on venue Wi-Fi. In the rare event of a macro telecom blackout, full 4K ISO master recordings fulfill stream delivery.
How is overtime handled if the event runs late?
Overtime is billed in 30-minute increments at $175/hr for standalone services and $350/hr for full production bundles. We always confirm verbal authorization with the lead planner before initiating overtime coverage.
When will we receive photos, highlight reels, and stream recordings?
Event photography is delivered as a high-res color-graded cloud gallery within 48 hours. Cinematic 4K highlight reels are delivered in 5–7 business days. Live stream master and ISO records are transferred within 24–48 hours via a secure cloud link.
Who is liable for equipment damage at the venue?
The client is 100% financially liable for the repair or full replacement value of any equipment damaged, stolen, or vandalized by event attendees, guests, or third-party venue staff during the contracted window.
What are the deadlines for custom merchandise and printing?
All vector artwork (300 DPI) and apparel sizing matrices must be approved in writing at least 14 business days prior to the event. Submissions within 14 days incur a 25% rush fee or default to standard unisex size distributions.
Do you charge for travel?
Travel is 100% complimentary within a 35-mile radius of the Washington, D.C. Metro Area. Beyond the 35-mile zone, travel is billed at $1.75 per additional mile. Client covers venue loading dock passes and parking passes at actual cost.
